Unbox and Power On

Remove all packaging materials and tape from the printer. Connect the power cord to the rear power connection port and press the Power button on the control panel. Wait for the printer to complete its initialization sequence before proceeding.

Install the Ink Cartridges

Open the cartridge access door and wait for the print carriage to move to the center. Remove the HP 65 tri-color and black cartridges from their packaging, peel off the plastic tape using the pull tab, and slide each cartridge into the correct slot at a slight upward angle until it clicks into place. Close the cartridge access door.

Load Paper and Test Print

Raise the input tray, slide the paper-width guide to the left, and insert a stack of plain white paper print-side up with the short edge down. Slide the guide snugly against the paper edge, then lower the output tray and extend the tray extender. Press the Information button to print a printer information page and confirm the hardware is ready.

Install Software and Connect

Download and install the HP Smart app from 123.hp.com on your iOS, Android, or Windows 10 device, or install the HP printer software on your Windows PC. Follow the on-screen instructions to connect the HP DeskJet 2623 to your wireless network and complete the setup process.

Pro-Tip: Do not touch the copper-colored contacts or the ink nozzles. Touching these parts can result in clogs, ink failure, and bad electrical connections.

Wireless Network (802.11b/g/n)

Connect the HP DeskJet 2623 to your home Wi-Fi network using the HP Smart app or HP printer software. Press the Wireless button on the control panel to turn on wireless capability — the Wireless light will blink during setup and stay solid once connected. To print a Wireless Network Test Report, press the Wireless button and Information button simultaneously.

Wi-Fi Direct

Print directly from a mobile device without a wireless router using Wi-Fi Direct. Press and hold the Wireless button and Resume button together for three seconds to enable Wi-Fi Direct — the Wi-Fi Direct icon on the control panel display will illuminate when active. Wi-Fi Direct supports up to five simultaneous device connections. Press the Information button and Resume button together to print the Wi-Fi Direct Guide.

Make sure the printer is powered on and paper is loaded in the input tray. Check for error messages in the HP printer software and follow on-screen instructions. Verify the printer is not set to Paused or Offline by opening Devices and Printers in Windows Control Panel. Ensure the HP DeskJet 2623 is set as the default printer, then restart the Print Spooler service and clear the print queue if jobs are stuck. Restart the computer as a final step.
Paper Jam — How to Clearexpand_more
Start by removing all paper from the input tray and checking the paper path for jammed sheets using a flashlight. Press the Cancel button to let the printer attempt an automatic jam clear. If the jam is in the cartridge access area, open the door, wait for the carriage to stop, then turn off the printer and unplug it before carefully removing the jammed paper. For jams underneath the printer, use the cleanout door on the bottom. After clearing all jams, reload paper and press the Resume button to continue. Error code E4 on the display indicates a paper jam.

Confirm you are using genuine HP 65 or HP 65XL cartridges and check estimated ink levels via the HP printer software or the Ink Level icons on the control panel display. Make sure you have selected the correct paper type and print quality in the printer settings. Run cartridge alignment from the printer toolbox (Print & Scan > Maintain Your Printer > Align Cartridges) using a plain white sheet. Print a diagnostics page to check color blocks — if blocks are faded or missing, clean the cartridges using the Clean Cartridges option in the Device Services tab.
Cartridge Error or Ink Alert Light Is Onexpand_more
If the Ink Alert light is on and an Ink Level icon is blinking, one or both cartridges may be missing, improperly installed, or still have plastic tape on the contacts. Open the cartridge access door, remove the affected HP 65 cartridge, verify the tape has been removed, and firmly reinsert it until it clicks. If the error persists, clean the gold electrical contacts on the cartridge and inside the printer using a dry lint-free cloth. Replace the cartridge if the problem continues. If both ink icons blink simultaneously with the Error icon, both cartridges need attention.

Press the Wireless button and Information button at the same time to print a Wireless Network Test Report and Network Configuration Page, which show diagnostic results and signal strength. Make sure your wireless router is powered on and the printer is within range. If the Wireless light blinks and the Wireless Attention icon appears, there may be a connection or WPS overlap issue — press the Wireless and Information buttons together to re-run the wireless test. You can also use the HP Print and Scan Doctor utility on Windows to automatically diagnose and fix wireless issues. To reset wireless settings, press the Wireless button to toggle wireless off and back on.

Important Safety Instructions

  • Always turn the HP DeskJet 2623 off using the Power button and wait for the light to go out before unplugging — this parks the cartridges properly and prevents the HP 65 nozzles from drying out.
  • Do not leave HP 65 or HP 65XL cartridges outside the printer for more than 30 minutes; exposed nozzles can dry out and clog, requiring cleaning or replacement.
  • Regularly align the cartridges from the HP printer software (Print & Scan > Maintain Your Printer > Align Cartridges) after installing new cartridges to ensure the best print quality.
  • Clean the scanner glass with a soft, lint-free cloth to prevent smudges or streaks from appearing on copies and scans — always place originals print-side down on the right front corner of the scanner glass.
