Product Setup

Unbox and Power On

Remove all packing materials and tape from the printer. Plug in the power cord and press the On button to power on the HP DeskJet 2540. Wait for the printer to complete its initialization sequence before proceeding.

Install Ink Cartridges

Open the cartridge access door and wait for the print carriage to move to the center. Remove the pink protective tape from the HP 61 tri-color and black ink cartridges, then insert each cartridge into the correct color-coded slot and press until it snaps into place.

Load Paper and Install Software

Load plain white letter or A4 paper into the input tray and open the output tray. Insert the printer software CD into your computer and follow the on-screen instructions, or download the latest driver from hp.com/support to complete software installation.

Align Ink Cartridges

After installation, align the ink cartridges for best print quality. In the printer software, click Print & Scan, then Maintain Your Printer, and select Align Ink Cartridges. Place the printed alignment sheet face-down on the scanner glass and press Start Copy Black to complete alignment.

Pro-Tip: Do not touch the copper-colored contacts or the ink nozzles. Touching these parts can result in clogs, ink failure, and bad electrical connections.

WPS Push Button Setup

Press and hold the Wireless button on the HP DeskJet 2540 for more than 3 seconds until the wireless light begins blinking, then press the WPS button on your router within 2 minutes. The printer will automatically connect to your 2.4GHz wireless network and the wireless light will stop blinking once connected successfully.

HP Wireless Direct (No Router Required)

Press the Wireless Direct button on the printer control panel to enable HP Wireless Direct, which allows smartphones, tablets, and computers to connect and print directly to the DeskJet 2540 without a wireless router. Security is enabled by default — press and hold the Wireless Direct button for more than 3 seconds to print the information page containing the password.

How do I improve poor print quality?expand_more
First, confirm you are using genuine HP 61 or HP 61XL ink cartridges and check estimated ink levels in the printer software. Open the printer software, click Print & Scan, then Maintain Your Printer, and run Align Ink Cartridges. If streaks persist, click Print Diagnostic Information under Device Reports, then use Clean Ink Cartridges on the Device Services tab to run an automatic cleaning cycle.
How do I clear a paper jam?expand_more
Press the Cancel button first to attempt an automatic jam clear. If that fails, gently pull the jammed paper from the input tray, output tray, or cartridge access area depending on where the jam occurred. For internal jams, open the cleanout door on the bottom of the printer by pressing both tabs, remove the jammed paper, then close the door until both latches snap into place. Press Start Copy Black or Start Copy Color to resume printing.

If one cartridge is defective, remove the black cartridge — if the On button blinks rapidly, replace the tri-color cartridge; if it does not blink, replace the black cartridge.

Download and run the HP Print and Scan Doctor (Windows only) for automatic diagnosis of common scan and copy problems. Ensure the cartridge access door is fully closed and the output tray is open before attempting to copy or scan. For scanner glass issues, ensure the alignment sheet or document is placed face-down on the right front corner of the scanner glass. Important Safety Instructions

  • Always turn off the HP DeskJet 2540 using the On button and wait for the On button light to go out before unplugging — this prevents cartridges from drying out.
  • Do not open or remove tape from HP 61 or HP 61XL cartridges until you are ready to install them, as leaving the tape on reduces ink evaporation and extends cartridge shelf life.
  • If you remove a cartridge from the printer for any reason, reinstall it as soon as possible — cartridges left unprotected outside the printer for more than 30 minutes risk printhead damage.
